Information you provide

We store your business and owner names, phone number, password hash, bank details you enter, clients, quotes, pasted conversations, payment records, receipts, uploaded images and feedback. Passwords and recovery keys are stored as hashes, not readable originals. Only upload information you are authorised to use and leave out unrelated personal details.

How Keel uses it

We use this information to provide your account, prepare quotes, record payments and expenses, answer bookkeeping questions, handle support and protect the service. Hosting logs and rate limits may contain request metadata, IP addresses, timestamps and errors. Authorised service administrators may access records to operate the beta and resolve support or security issues.

AI and service providers

Vercel hosts the app and private uploaded files. Neon stores the database. When you use an AI feature, relevant conversation text, receipt or payment images, or a summary of your business records and question is sent to Anthropic to produce a response. Manual entry is available without asking AI to process that entry. Using the AI bookkeeper later includes relevant recorded entries in its context.

These providers may process information outside Namibia. Anthropic applies its own commercial API retention policy, including exceptions for security or legal requirements. See Anthropic’s retention information.

Sharing quotes and files

Anyone who has a published quote link can view its client name, prices, payment reference and the business bank details you entered, and can accept an available quote. Treat these links as private and share them only with the intended client. Draft quotes and uploaded financial images require the owning business’s login. Sharing a link through WhatsApp also involves WhatsApp’s service.

Cookies

Keel uses the essential keel_session cookie to keep you logged in for up to 30 days. Logging out revokes that session. Password recovery revokes all existing sessions. No advertising or optional analytics cookies are added by this beta. Hosting security controls may also use essential security cookies.

Retention and your requests

Records remain in your account during the beta unless removed through an approved support request. There is no automatic account deletion schedule in this release. Ask support for access, a copy, correction or deletion of your records, or to close your account. We verify ownership and explain any records that must be retained for legal or security reasons. Backups and service-provider logs may persist under their retention schedules.

Material changes to this notice will be published here. Contact support before uploading information if you need a specific retention period or additional data-processing terms.
